Approvals and checklists
Record who signed off on a deal and work through the due diligence before signing.
The Approvals & checklist tab on a deal page keeps track of internal sign-off and the steps needed to complete a deal. Both are visible to every role with access to Recruitment & transfers; amounts are not involved.
Approvals
An approval step records that someone has to sign off on the deal before it goes ahead.
Add a step
Select Add step, choose who approves (Head coach, CEO, Board, Owner or Other) and add it. The step starts as Pending.
Record the decision
On a pending step, select Approve or Reject. Fill in Decided by, the Date and an optional Note (conditions for an approval, the reason for a rejection), then confirm with Record approval or Record rejection.
Decided by is a free-text name, because not everyone who signs off has an account in Agones. A decided step shows who decided and when.
The block header shows how many steps are still pending, and the tab shows a dot while any step is pending. A step can be removed with the trash icon. Each request, approval and rejection appears in the deal's activity timeline, and the deal owner is notified when someone else records a decision. See Notifications.
Checklists
The checklist covers due diligence and completion: medical, registration, international clearance. A deal starts without a checklist. Select Start with the standard list to add the default items for the deal's direction.
- Medical completed
- Background and character references
- Agent licence and representation verified
- Visa or work permit (if required)
- International Transfer Certificate (ITC) requested
- FIFA TMS entry matched by both clubs
- Contract signed by player and club
- Registered with the federation
- Announcement agreed
The standard list is generic, not tied to a specific federation. Remove items that do not apply, and add the club's own items with Add an item. Tick an item when it is done; the progress is shown as a count (for example 3 of 9) and a bar. The tab shows the same count.
Signing with open items
Approvals and checklists never block a deal. When a deal is moved to Signed or Completed while items are open, the confirmation lists what is outstanding:
- the medical, if it is not ticked off
- the number of other open checklist items
- approvals that were rejected or are still pending
The deal can still be signed after confirming. This keeps the decision with the club while making sure nothing is skipped by accident. See Deals and pipeline for what signing changes in the squad.
Who can change what
Members with write access to recruitment (the Football Director and the Recruitment role) can add steps, record decisions and work the checklist. The CEO sees approvals and checklists but cannot change them. See Roles and permissions.
